Evening wedding invitation wording (with examples)

How to word an evening-only wedding invitation so guests feel welcome, not second best. Examples for formal, relaxed and family-hosted weddings.

Evening guests are a very British tradition. The ceremony and wedding breakfast are often limited by venue size and budget, so couples invite a wider circle (colleagues, neighbours, the friends you met later in life) to join the party once the meal is over. On average, couples invite 21 evening-only guests (Bridebook UK Wedding Report, 2026).

The trick with evening invitations is to make people feel genuinely wanted, not like they’ve been squeezed in at the end. Good wording does most of that work.

The golden rules

  • Say “evening reception” clearly. Nobody wants to turn up at 1pm in their best outfit to find the ceremony isn’t for them.
  • Give a start time, not a vague “later on”. “From half past seven” helps guests plan travel and babysitters.
  • Don’t mention the ceremony time or venue unless it’s somewhere evening guests are welcome to gather outside, such as a church.
  • Match the tone of the day invitation. Same design, same warmth - just a different event.
  • Mention food. If there’s an evening buffet, pizza van or hog roast, say so. It changes whether people eat before they arrive.

Formal wording

Relaxed wording

Things to include (and leave out)

An evening invitation needs fewer details than a day invitation, but a few things save a lot of questions:

  • Date, start time and venue address (with a map link if it’s sent digitally).
  • Whether food is served, and roughly when.
  • An RSVP date - usually the same as for day guests, so your caterer gets one final number.
  • Whether children are invited. Name them on the invitation if they are.
  • Carriages or taxi information if the venue is rural.

Leave out gift list details from the invitation itself - put them on your wedding website instead, which is more graceful for everyone.

Keeping two guest lists straight

The fiddliest part isn’t the wording - it’s keeping track of who received which invitation, and making sure evening guests don’t stumble on ceremony details meant for a smaller group. A spreadsheet with a “day or evening” column works; so does a tool that keeps the lists separate for you and gives each group the right invitation and website view automatically.

Whatever you use, count day and evening numbers separately when you report back to your venue and caterer. Evening food is usually catered for the whole room, day guests included, so your evening number is everyone who’ll be there after 7pm.

Make it easy on yourselves. Kindly Reply sends separate day and evening invitations, collects replies and dietary needs without guest logins, and hands you a caterer-ready list. Begin our invitations: setting up and previewing costs nothing, and you pay once, only when you’re ready to send.
